Data from gym operators (our customers)
When you sign up for or use ZeusFit, we collect:
- Account information: name, email address, phone number, business name, business address
- Billing information: payment method details processed through our third-party payment provider
- Platform usage data: login activity, feature usage, dashboard interactions
- Support communications: emails, chat messages, and call records related to customer support
Data from gym leads (your customers)
When gym leads interact with Zeus through voice calls, DMs, or messaging channels, we process the following data on behalf of our gym operator customers:
- Contact information: name, phone number, email address
- Conversation data: voice call recordings, call transcripts, DM and chat message content
- Qualification data: training goals, membership intent, budget range, timeline, and other responses provided during the AI conversation
- Booking data: appointment date, time, and associated notes
- Channel data: the platform through which the lead made contact (phone, Instagram, Facebook, WhatsApp, web form)
Data collected automatically
When you visit our website or use our platform, we automatically collect:
- Device and browser information: IP address, browser type, operating system, device type
- Usage data: pages visited, time on page, referring URL, click behaviour

How We Use Data
We use personal data for the following purposes:
- To provide and operate the ZeusFit platform and services
- To make and receive AI voice calls and DM messages on behalf of gym operators
- To qualify leads and book appointments as configured by the gym operator
- To sync lead data, call transcripts, and booking details to the gym operator's CRM
- To process payments and manage billing
- To communicate with customers about their account, product updates, and support
- To improve our platform, AI models, and service quality
- To comply with legal obligations
- To detect and prevent fraud, abuse, or security incidents
We do not sell personal data to third parties.
AI Disclosure
Zeus uses artificial intelligence to conduct voice calls and messaging conversations with gym leads. Key points:
- Zeus identifies itself as AI at the start of every voice call. We do not impersonate humans.
- Voice calls are generated using AI voice synthesis technology.
- Conversations are processed by AI language models to qualify leads and book appointments.
- Call recordings and transcripts are stored and made available to the gym operator through the Zeus dashboard.
- AI models may be improved using aggregated, anonymised interaction data. Individual conversations are not used to train third-party AI models without explicit consent.

Gym operators (our customers)
Lead data, call recordings, transcripts, qualification notes, and booking details are shared with the gym operator whose leads are being processed. The gym operator is the data controller for their lead data. Zeus acts as a data processor on their behalf.
Legal and compliance
We may disclose data if required to comply with applicable laws, regulations, legal processes, or government requests.
Data Retention
- Account data: Retained for the duration of the customer relationship and for 12 months after account closure for legal and billing purposes.
- Lead data, call recordings, and transcripts: Retained for 12 months from the date of collection, unless the gym operator requests earlier deletion.
- Billing data: Retained as required by applicable tax and financial regulations.
- Website analytics data: Retained for 26 months.
Gym operators can request deletion of their lead data at any time by contacting legal@zeusfit.ai.
Data Security
We implement appropriate technical and organisational measures to protect personal data, including:
- Encryption of data in transit (TLS) and at rest
- Access controls and authentication on all platform systems
- Regular security reviews of third-party service providers
- Role-based access to customer data within our team
- Secure cloud infrastructure with industry-standard compliance
No system is completely secure. We cannot guarantee absolute security but are committed to protecting data to the best of our ability.
Your Rights
Depending on your location and applicable law, you may have the following rights:

For gym leads: If you are a gym lead whose data has been processed by Zeus on behalf of a gym, you may contact the gym directly or contact us at legal@zeusfit.ai. We will coordinate with the relevant gym operator to fulfil your request.

ZeusFit operates from the United Arab Emirates. Our service providers may process data in other jurisdictions, including the United States and the European Economic Area. Where data is transferred internationally, we ensure appropriate safeguards are in place, including standard contractual clauses and data processing agreements with our service providers.
